This Privacy Notice explains what personal data is collected, how it is processed and who it will be shared with if you attend an event, briefing, or training session that may be recorded, using Microsoft (MS) Teams (or other agreed media platform).
Recording any type of MS Teams meeting means that whatever you have in the background is visible to other attendees and will be captured in the recording. This is particularly important if you are working from home as you may have aspects of your personal data recorded, whether you actively participate or not. You can, on Microsoft teams put up a background to stop any additional pictures of your home being recorded.
If the meeting will be recorded, you will be informed in the invitation to attend and on the day of recording the session (normally verbally) prior to any recording taking place. If you do not wish to attend any training/briefing event because it is being recorded, You may be able to access the recording later.
Why we collect personal data about you
We collect and hold personal data relating to MS Teams meetings that you attend
We use this information to:
- deliver training briefings and events to support your practice
- train and develop our staff
- provide training, briefing event opportunities accessible to staff, who cannot attend on the day
You have the choice to attend the training or not. If you attend, you are consenting to having your video image/voice recorded. It is possible the recording will also pick up your writing in the chat part of Microsoft teams.

- Your current function and preferred language. (either entered personally by you when you access Microsoft Teams, or applied by your workplace when your account is created)
- IP address
- Cookies
- Connection data and access times.
Who we share your information with
We will share data with:
- These Microsoft team recordings will be made available to other staff within NCC to support their practice in delivering auditing or quality assurance work
- Staff unable to attend at the time of recording.
How long we keep your information for
We will only keep your information for as long as we need to unless we need to keep it for legal reasons.
Your rights
You have the right to:
- Ask to see the information we hold about you
- Ask us to change information we hold about you if it is wrong
- Ask us to delete the information we hold about you
- Ask us to limit the way we use your information
- Withdraw your consent
- Ask for human intervention regarding decisions made about you by a computer

Withdrawal of consent
Where personal data is processed on the lawful basis of consent, you will have the right to withdraw that consent. However, dependent on the purposes that we are process your data withdrawal of consent may affect our ability to provide certain services to you.
